Benefits of name branded E-Mail: Appears professional and advertises your web site. Web-Mail is accessable anywhere you can access the internet.

 

Accessing your E-Mail via the web (Web-Mail):

Open your web browser (Internet Explorer) and type in your address (URL) as follows then hit enter:
Old Platform: http://www.YourDomainName.com/webmail4
New Platform: http://mail.YourDomainName.com

You will see an Account Support (vDeck) Web Mail log in; Enter your log in information accordingly.

iNetMatrix only supports web based E-Mail services due to varying in-house clients, client settings, and ISPs; however, we do provide the following information for POP3 clients setting should you prefer to go that rout.

iNetMatrix supports your Web-Mail and Web-Mail server.  When reporting any issue with Web E-Mail you will need to describe your problem:

  • Can you log into your Web-Mail?
  • What error messages are you getting in Web-Mail?
  • Can you send via Web-Mail?
  • Can you receive via Web-Mail?
  • Who (or what email accounts) is having the problem?
  • Are you getting "Spam" (junk email)?

Because of the variety and uniqueness of in house networks and SMTP requirements of Internet Service Providers used by your in house architecture, iNetMatrix cannot set up or provide support for your internal e-mail network architecture or Outlook program; internal settings and issues must be handled by your internal techinical support.

Basic POP3 Outlook client settings:

Go to Outlook: Tools> E-Mail Accounts> (then follow the wizard with settings as follows:)

pop3.YourDomainName.com

smtp.YourDomainName.com

Outgoing port: 25

Make sure you do NOT check the box "Leave a copy of messages on the server" in "More Settings"; this will cause your mail box to fill up if you are not regularly checking web-based e-mail.

Additional settings for your POP3 E-Mail in Outlook may be:

Some ISPs (Internet Service Providers) block port 25 for SMTP outgoing E-Mail to prevent spaming (Junk-EMail) and malicious software going out on their server; however, this also hinders your ability to send outgoing E-Mail using your name branded E-Mail. You may contact your ISP and request that port 25 be opened; some will and some will not.

If you are not using SSL for your mail, you can try port 587 as the Outgoing SMTP server port in your e-mail client settings. Another option is to apply your ISP's settings to your e-mail client SMTP settings. As long as your ISP isn't being blocked by another ISP (rare but possible), you should be able to send mail successfully. "Authentication" is a very important factor in this setting and this depends on your ISP requirements.

Go to Outlook: Tools> E-Mail Accounts> (then follow the wizard with settings as follows:)

Be aware that the above Outgoing Server settings may be a crytical setting for you situation!

Make sure you do NOT check the box under Delivery "Leave a copy of messages on the server"; this will cause your mail box to fill up if you are not regularly checking web-based e-mail.

Other SMTP options:

1) ISP permitting, running Vista Ultimate and Office 2007 with Symantec Antivirus 2007 may provide the option to configure Outlook accounts non-encrypted whereby permitting the ability to send SMTP in your own domain name. The configuration process will notify you of allowance or denial of such access.

2)
Mimic your domain name (ie. YourDomainName.User@YourISP.com) and forward your name branded E-Mail to your ISP account. Drawback- will be sending with ISP name.

3)
If Port 25 blcoked: Using "Alternate Port SMTP" to get around the port 25 issue. Alternate Port SMTP is a third party service, iNetMatrix has no affiliation with such and is not responsible for their services.

4) Set up in local client and or internal E-Mail server to your name branded E-Mail server.

If using an internal E-Mail server for outgoing SMTP E-Mail, it may require the ISP's E-Mail server information and or E-Mail addresses to be used in conjunction with your name branded E-Mail making the server settings different than in the pictures above. You may need to define such addresses in your allowed list.

Because of the variety and uniqueness of Networks, iNetMatrix cannot set up or provide support for your internal E-Mail network architecture. In rare cases, should you require in-house E-Mail hosting services, you may provide us your E-Mail server IP address and FQDN (Fully Qualified Domain Name) to direct E-Mail hosting services to you (We do not provide MX Record); in addition, we may need additional information labeled "*Special Requirements" below. Should you choose to do this we recommend you hire a qualified E-Mail network professional; furthermore, iNetMatrix cannot be responsible for any loss of existing E-Mail, E-Mail addresses/accounts and or interruption of service resulting from this breach in hosting services. This is an option only that iNetMatrix advises against.

Let us know if you encounter excessive amounts of SPAM. Be aware both your ISP E-Mail address and name branded address are capable of being Spamed so you may want to be running Anti-SpamWare on your server and or workstations.

Troubleshooting server connection issues check the following:

  • Make sure settings, user names, and passwords are all correct.
  • Firewall (hardware & or software).
  • Local SPAM Ware allow list: Be sure to have all E-Mail addresses from both your ISP and your Name Branded E-Mail addresses included in the allow list.
  • Check your ISP's quality of service.

Make sure you are running adequate Anti-Virus software that is updated regularly.

You may test your E-Mail server with this third party tool: MXToolBox using mail.YourDomainName.com.

*Special Requirements: If NAT (Network Address Translation) is being used we may need your IP address of your external NAT. If "E-Mail Relay" is being used we may need the FQDN and IP of your E-Mail Relay machine.
